Every tender, every attendant
- Collections are recorded per attendant per handover: cash, card, UPI, credit, and named other tenders such as a wallet, fleet card or cheque.
- UPI can be recorded per QR code, so each code's takings can be checked separately.
- Count cash note by note on the denomination counter, from ₹500 down to ₹1. The count becomes the cash figure.
Short and excess, decided properly
A difference within your tolerance (₹100 by default, plus an optional percentage) is let through. Anything beyond it is a short or an excess against that attendant. The manager decides each one: take from pay, forgive, or mistake. Money paid back after the day was closed can be recorded too.
Shortages only reach pay when the manager confirms them, and deductions are capped at the legal limit of 50% — your own cap can only be stricter. Out of the box, no deduction is made until you turn a policy on. See payroll.
Check card and UPI money actually arrived
Upload the settlement report from your card or UPI provider (Paytm, PhonePe, HDFC SmartHub Vyapar, ICICI, Pine Labs or another acquirer, as CSV or Excel) and Maxify matches it against the books for closed days, and works out the fees charged.
Frequently asked questions
Why do petrol pumps have cash shortages?
Most come from counting errors at handover, change given wrongly, card or UPI payments entered as cash, and test fuel not accounted for. Some are theft. Read how to stop cash shortages.
Is it legal to deduct a shortage from an attendant's salary?
Deductions for losses are allowed within limits. Maxify never deducts more than 50% of pay and shows the reason on every deduction. Check the rules that apply to your state with your advisor.
