What goes into the DSR
The DSR in Maxify is built per attendant, the way a manager balances a day:
| Column | Where it comes from |
|---|---|
| Fuel | Opening and closing totaliser readings on each nozzle, at the shift's price |
| Non-fuel | Lubricant and shop bills made on the counter |
| Expected | Fuel + non-fuel the attendant should have collected |
| Cash, Card, UPI, Credit, Other | What the attendant actually handed over |
| Short / Over | Collected minus expected |
The top of the report totals the day: total sales, fuel, non-fuel, collected, credit and short/over. A day that has not been closed is clearly marked Provisional — day not closed.
A day close that means something
Day close reconciles the whole station: what was expected, what was collected, credit given, other tenders, dues paid in, expenses paid from an attendant's bag, and the variance. The day is saved as Closed or Closed with mismatch.
Once closed, a day cannot be quietly edited. A correction is posted as an adjustment with a reason, or the owner reopens the day. Either way it shows in the owner's audit log.
- A manager who was away can enter earlier days that are still open.
- A day with no trading can be closed, with an explicit confirmation.
- The owner is emailed if nobody closes a day, and again if it is closed late.
Print it, save it, send it to your accountant
Every report, including the DSR, has a Print / PDF button that prints on your letterhead with the station's name and address and page numbers, or saves as a PDF. The day book downloads as an Excel workbook with sheets for the summary, fuel stock and sales, nozzle meters, dip register, stock card, credit parties, expenses and cash settlement.
Other reports sit beside the DSR: day book, shifts, short/over, cash and bank, expenses, non-fuel, GST and tax, and past bills.
Frequently asked questions
Can I get the DSR in Excel?
The DSR prints or saves as a PDF. The day book, which carries the same day's sales, nozzle meters, dips, stock and cash in more detail, downloads as Excel.
What does DSR mean at a petrol pump?
DSR stands for daily sales report (some dealers say daily stock report). It is the day's record of meter sales, stock and collections. Read the DSR format guide for what it should contain.
What if the day doesn't balance?
The difference is shown as short or over against the attendant it belongs to, and the day closes as Closed with mismatch. The manager then decides each shortfall: take it from pay, forgive it, or mark it a mistake. See cash balancing.
